![How to Choose a VoIP Provider: A Buyer's Guide for Small Businesses](https://chargezen.com/og-default.png)

Every VoIP provider's website says it's simple, reliable and affordable. The differences only show up after you've moved your number, trained your team and received the first full bill. This guide helps you find them before then: what kind of provider you actually need, what to test, which costs to add up and what to ask before you sign.

We sell one of the options (Chargezen, an AI that answers your business number), and we'll say plainly where it fits and where a traditional phone system is the better buy.

## Step 1: Write down how your phone is really used

Before you look at any pricing page, spend a week noting what happens on your phone. It takes ten minutes a day and saves a bad purchase.

* **Who calls, and why**: New customers, existing customers, suppliers, partners. What do most of them want: a quote, an order update, an appointment, a person?
* **When**: Business hours only, evenings, weekends, seasonal spikes, emergencies.
* **How many**: Calls and texts per day, and how many arrive at the same time.
* **Who answers today**: One owner, a front desk, a team, nobody after 5 p.m.?
* **What gets missed**: Calls that go to voicemail or ring out, and what those callers would have been worth. Our [missed call cost calculator](https://chargezen.com/tools/missed-call-cost-calculator) uses your own numbers.
* **Texting**: Do customers text you? Do you send order updates, reminders or photos by text?

The pattern tells you the kind of provider. A ten-person office where three people answer every call needs routing. A two-person shop that misses half its calls while working needs something that answers. A store whose callers mostly ask about orders needs answers tied to its order data.

## Step 2: Pick the kind of provider

"VoIP provider" covers very different products. These are the main kinds, with examples we've compared in detail.

| Kind | Examples | Best for | Watch out for |
| --- | --- | --- | --- |
| Simple business phone app | Quo (formerly OpenPhone), Grasshopper, Google Voice | A second number on your cell, small teams sharing a line, texting | Calls still need a free person; AI and extras cost more |
| Full cloud phone system (UCaaS) | RingCentral, Dialpad | Offices with extensions, desk phones, video, phone menus and routing | Per-user pricing, add-ons, setup time |
| Call center software | Aircall, JustCall | Sales and support teams handling high call volume with queues and analytics | License minimums, per-minute AI |
| Answering service | Smith.ai (human and AI receptionists) | A live receptionist experience without hiring | Priced per call; operators know only your script |
| Local business messaging | Podium | Texting, review invites and payments for local businesses | Prices through sales |
| AI agent on your number | Chargezen Concierge | Answering every call and text with AI, with your team stepping in; online stores and service businesses | No phone menus, ring groups, forwarding or desk phones |

Examples only, not a ranking. Our compare pages list each vendor's current features and prices with the date we checked them.

Our side-by-side pages go deeper on each: [Quo](https://chargezen.com/compare/quo), [Grasshopper](https://chargezen.com/compare/grasshopper), [Google Voice](https://chargezen.com/compare/google-voice), [RingCentral](https://chargezen.com/compare/ringcentral), [Dialpad](https://chargezen.com/compare/dialpad), [Aircall](https://chargezen.com/compare/aircall), [JustCall](https://chargezen.com/compare/justcall), [Smith.ai](https://chargezen.com/compare/smith-ai) and [Podium](https://chargezen.com/compare/podium).

## Step 3: Separate must-haves from nice-to-haves

Feature lists run to hundreds of items. Pick the five to eight that decide the purchase for you, and ignore the rest. Our [business phone features guide](https://chargezen.com/blog/business-phone-features) explains each one. Common must-haves:

* **Keeping your number**: Can the provider port your existing number in? Most US numbers can be moved. See [how porting works](https://chargezen.com/blog/how-to-port-a-phone-number).
* **Texting from the business number**: Including photos, and the carrier registration that business texting now requires.
* **Coverage for missed calls**: Voicemail, an answering service, an AI agent, or a ring group of people.
* **Shared access**: Can several people work the same number and see the same history?
* **Routing**: If you need "press 1 for sales" menus, ring groups or business-hours schedules, this is a must-have and it narrows the list a lot.
* **Apps**: iPhone, Android, desktop, browser, desk phones: which do your people actually use?
* **Integrations**: Your CRM, help desk or store platform, if calls and texts need to show up there.

## Step 4: Test call quality and the daily workflow

Call quality depends as much on your internet connection as on the provider. During a trial or demo account:

* **Call from where you work**: The shop floor, the truck, the back office, your home. Not just your desk.
* **Test on Wi-Fi and cellular data**: And walk between the two mid-call. Our [Wi-Fi calling guide](https://chargezen.com/blog/what-is-wifi-calling) explains why handoffs fail.
* **Have real callers try it**: Ask a friend to call as a customer. How long until a person or an answer? Did they have to repeat themselves?
* **Try the hand-off**: Transfer a call, take over a conversation, reply to a text from a different device. These daily moves matter more than any headline feature.
* **Check what you get afterward**: Is there a record of each call and text in one place, with recordings or transcripts where you need them?

## Step 5: Add up the real cost

Per-user prices are the start of the bill, not the end. List these for every finalist, using the vendor's own pricing page and the date you checked it. Our [small business phone plans guide](https://chargezen.com/blog/small-business-phone-plans) walks through the pricing models with examples.

* **Plan price by billing term**: Annual billing is usually cheaper per month than monthly billing. Note both.
* **Minimum users or licenses**: Some plans require several seats.
* **Extra numbers**: Additional local or toll-free numbers often cost extra each month.
* **Texting registration**: One-time and monthly fees for 10DLC brand and campaign registration, or toll-free verification.
* **AI and add-ons**: AI receptionists, call queues, recording storage, analytics and integrations are often priced separately, sometimes per call or per minute.
* **Usage**: International calls, texts beyond the allowance, toll-free minutes.
* **Taxes and regulatory fees**: Phone service carries taxes and surcharges that are rarely in the headline price.
* **Hardware and setup**: Desk phones, headsets, installation or onboarding fees.

## Step 6: Read the contract terms

* **Term and renewal**: Monthly or annual? Does it renew automatically, and how much notice do you need to cancel?
* **Early termination**: What do you owe if you leave mid-term?
* **Number ownership**: Confirm in writing that you can port your numbers out when you leave. A provider that makes leaving hard is a warning sign.
* **Price changes**: Can the price rise during the term?
* **Service levels**: Is there a written uptime commitment, and what do you get if it's missed?
* **Data**: Can you export call logs, texts and recordings? What happens to them after you cancel?

## Step 7: Check security and compliance

Ask about two-step sign-in, fraud controls, encryption, number protection and access logs. Our [VoIP security guide](https://chargezen.com/blog/voip-security) has the full list of questions. If you record calls or text customers, make sure the provider supports recording notices and handles texting registration. See [call recording consent](https://chargezen.com/blog/call-recording-consent) and the [10DLC registration guide](https://chargezen.com/blog/10dlc-registration-guide).

## Step 8: Plan the switch

* **Keep the old service running**: Don't cancel anything until the port is complete and calls and texts work on the new system.
* **Get your porting details ready**: Account number, transfer PIN, the exact name and address on the account, and a recent bill.
* **Start texting registration early**: It can take longer than the number port.
* **Train on the daily moves**: Answering, taking over, transferring, replying to texts. Then let people find the rest.
* **Check the first full bill**: Compare it with your estimate from step 5.

## Red flags

* **No published prices**: Not always a deal breaker (some enterprise products are priced through sales), but expect a longer process.
* **Vague answers about porting out**: You should always be able to take your number with you.
* **Long contracts for small teams**: Be wary of multi-year terms when your needs could change in months.
* **Must-have features only on the top tier**: Price the plan that actually includes what you need.
* **Claims you can't check**: "99.999% uptime" or "best call quality" without a written commitment or a way to test.

## Where Chargezen fits

Chargezen is the right pick when your problem is calls and texts that nobody gets to, and when callers mostly need answers your business already has: order status, hours, services, prices, next steps. Concierge answers on your number, your team steps in when a person is needed, and everything stays in one thread.

* **AI answers every call**: Concierge picks up day and night with the greeting you write, answers from the information you give it and recognizes returning callers by their number. See the [AI receptionist](https://chargezen.com/concierge/use-cases/ai-receptionist) and the [phone channel](https://chargezen.com/concierge/channels/phone).
* **Teammates join or take over**: When a customer needs a person, Concierge alerts your team in the Finn app and the browser, and emails or texts the teammates you pick. Listen in with your microphone off, tap Join the call, and Concierge tells the caller you're there. From the Finn app on iPhone or Mac you can transfer the call to a teammate, with a note. See [phone calls](https://chargezen.com/concierge/features/phone-calls).
* **Calls and texts in one thread**: Each customer's calls, texts and messages land in one conversation in the [team inbox](https://chargezen.com/concierge/features/team-inbox), so whoever picks it up sees the whole story.
* **A US business number that calls and texts**: Get a local or toll-free US number, search open numbers by area code on [phone numbers](https://chargezen.com/phone-numbers), or [bring the number you already have](https://chargezen.com/concierge/features/bring-your-number). Chargezen files the 10DLC or toll-free registration texting needs. See [business phone number](https://chargezen.com/concierge/features/business-phone-number).
* **Recording by your rules**: Set each number to your policy. Callers hear your notice before recording starts, you choose how long recordings are kept, and every playback and download is logged with a reason. See [call recording](https://chargezen.com/concierge/features/call-recording).

**When a traditional phone system is the better buy:** if you need extensions, desk phones, phone menus, ring groups, call queues across many agents or business-hours routing, choose a provider built for that, such as RingCentral, Dialpad, Aircall or JustCall. To be plain about what Chargezen is not: it doesn't sell VoIP lines, desk phones or a PBX. It has no IVR or phone menu, no ring groups, no call forwarding or simultaneous ring to personal phones, no business-hours routing, no extensions and no international numbers. It offers US (+1) local and toll-free numbers only. If you need those things, buy a phone system built for them, and use Chargezen where it fits.

Concierge Starter is $20 a month with 20,000 credits. Pro is $199 a month with 199,000 credits, or $1,990 a year. Texts are 2¢ per message part and calls are billed as you use them, with no per-user fees. See [pricing](https://chargezen.com/pricing).

## Frequently asked questions

## What is the best VoIP provider for a small business?

The one that matches your call pattern. Small teams sharing a line often do well with a simple business phone app; offices with routing needs want a full cloud phone system; businesses that miss calls while working want something that answers, whether a service or an AI agent.

## Can I keep my number when I switch?

Usually yes. Most US numbers can be ported. Keep the old service active until the port completes.

## Do I need desk phones?

Most small businesses don't anymore; apps on phones and computers cover it. Front desks and reception areas sometimes still prefer them.

## How long does switching take?

Setting up the account can take a day. Porting and texting registration take longer and depend on the carriers involved, so start them first.
