![What Missed Calls Cost an Online Store, and How to Stop Missing Them](https://chargezen.com/og-default.png)

Most online stores don't think of themselves as phone businesses. The site does the selling, email does the support, and the phone number in the footer rings somewhere in the back. Then a customer calls about an order that ships tonight, nobody picks up, and the next thing you see is a chargeback or a one-star review that starts with "I tried calling."

A missed call is easy to ignore because it leaves almost no trace. There is no ticket, no angry email, often not even a voicemail. This guide shows why calls go unanswered, how to put a number on what they cost you using your own data rather than someone else's benchmark, and what each fix (voicemail, callbacks, a person, an AI that answers) actually changes.

## Why store calls go unanswered

Before fixing missed calls, find out which kind you have. The causes are different, and so are the fixes.

* **After hours**: Online stores sell around the clock, but most teams answer during one time zone's business day. Evening and weekend calls are often the biggest share of the missed ones.
* **Everyone is busy**: A small team packing orders, answering email and running ads will let the phone ring when the warehouse is loud or the inbox is full. Sale days and shipping delays make this worse exactly when calls spike.
* **The number rings one person**: If the business number is really the founder's cell, every vacation, meeting and night's sleep is a gap.
* **Calls that drop while waiting**: Hold queues and long greetings lose callers who would have stayed for a person. They count as missed even if the phone technically answered.
* **Nobody knows they were missed**: Some phone setups don't report unanswered calls at all, so the team never learns the problem exists.

## What a missed call costs: a worksheet with your numbers

You will find articles quoting how many callers never call back or how much a missed call is worth. Those numbers come from other businesses, often local service companies, and they don't tell you much about your store. Your own call log and order data will. Here is a worksheet you can fill in with two normal weeks of data.

| Step | What to measure | Where to find it |
| --- | --- | --- |
| 1\. Calls a week | All inbound calls to your business number, averaged over two normal weeks | Your phone provider or app call log |
| 2\. Missed share | Calls nobody answered: rang out, went to voicemail, or hung up while waiting. Count each caller once a day | The same call log |
| 3\. Buyer rate | Of callers you did answer, the share who placed an order in the next few days | Match caller numbers to customer phone numbers in your orders |
| 4\. Average order value | Your normal average order, or the average for callers if you can isolate it | Your store analytics |
| 5\. Repeat orders | How many more orders a new customer usually places in their first year | Your repeat purchase or subscription data |

Skip weeks with a big sale or a shipping problem; they inflate call counts.

Then do the math: calls a week × missed share × buyer rate × average order value gives you the first orders at risk each week. Multiply by 52 for the year. If those customers would have come back, add their repeat orders on top. Our free [missed call cost calculator](https://chargezen.com/tools/missed-call-cost-calculator) runs exactly this formula and shows each step, so you can see which input moves the result most.

Treat the result as a range, not a promise. Not every missed caller was about to buy, and some will email instead. But even a conservative version tells you whether missed calls are a rounding error or a real line item, and that decides how much effort the fix deserves.

## The costs that are harder to count

Lost orders are the easy part to estimate. The calculator leaves out costs that are real but harder to put a number on, so keep them in mind when you read the result:

* **Problems that get worse while waiting**: A wrong address that could have been fixed before shipping becomes a reship. A charge question that could have been explained becomes a dispute.
* **Subscribers who cancel instead**: A subscriber who wanted to skip a delivery and couldn't reach you may cancel the whole subscription to stop the charge.
* **Callback time**: Every voicemail is a callback, and many callbacks turn into phone tag. That is team time spent on calls that could have been finished the first time.
* **Reputation**: Customers who could not reach anyone tend to say so in reviews, and shoppers read those before they buy.

## Your options: voicemail, callbacks, a person or an AI

There are four common ways to handle the calls your team can't take. They differ in one key way: whether the customer's problem is solved when the call ends.

| Option | What the caller gets | What your team still has to do | Best for |
| --- | --- | --- | --- |
| Voicemail | A recorded greeting and a beep | Listen, call back, and do the work | Very low call volume and same-day callbacks |
| Scheduled callbacks | A promise that someone will call | Call back in the window you promised | Teams with set phone hours who can keep the promise |
| More people on the phone | A person, if one is free | Staff the line through peaks, nights and weekends | Stores with steady call volume and complex sales calls |
| An AI that answers | An answer now, and often the fix | Review what it did; take over when it asks | Order status, order changes, subscription changes, after-hours calls |

General comparison. What each option does depends on how it is set up.

Voicemail is cheap and slow. Callbacks are honest but only as good as your follow-through. More people solve the problem and cost the most, especially for nights and weekends. An AI that answers changes the shape of the problem: instead of fewer missed calls, you get calls that never needed a person in the first place. ## Fixes that cost nothing

Before buying anything, cut the calls that shouldn't happen and make the rest easier to answer.

* **Find out why people call**: Tag two weeks of calls by reason. If half are "where is my order?", the fix is better tracking emails and a clear order-status page, not more phones.
* **Put the answer where they look**: Shipping cutoffs, return steps and subscription changes on the order confirmation, the FAQ page and the account page.
* **Offer texting**: Many customers would rather text than call. A text can wait a few minutes without anyone hanging up. Our [click-to-text link generator](https://chargezen.com/tools/click-to-text-link-generator) makes a Text us button and QR code for your number.
* **Fix your greeting**: Keep it short, say who is answering, and say when you will call back if nobody can pick up.
* **Read voicemails, don't listen to them**: Get voicemails transcribed so the team can scan them quickly and prioritize.
* **Call back the same day**: Set an owner and a time each day for callbacks. A callback the next morning is very different from one three days later.

## When to let an AI answer

An AI phone agent is worth it when your missed calls are mostly about things your store data can answer: where an order is, changing an address, skipping a subscription delivery, a product question. It is less useful if your calls are mostly complex sales conversations or complaints that need a manager.

If you go that way, insist on three things. It should know the caller and see their orders, or it is just a nicer voicemail. It should ask before anything consequential, like a refund or a cancellation. And a teammate should be able to listen in and join a live call without the customer repeating themselves. Our [buyer's checklist for AI voice agents](https://chargezen.com/blog/ai-voice-agent-for-shopify) has the full list of questions and a test-call script.

## A missed-call checklist

* Export two normal weeks of call logs and count the unanswered calls.
* Tag each call by reason and by time of day.
* Fill in the worksheet or the calculator with your own numbers.
* Remove the calls you can prevent with better emails and pages.
* Add a text option for customers who would rather not call.
* Decide who or what answers after hours, and put it in writing.
* Get voicemails transcribed and set a daily callback owner.
* Check the numbers again in a month.

## How Chargezen helps

Concierge is Chargezen's team of digital employees, and one of its jobs is answering your phone. It works as an [AI receptionist that knows your store](https://chargezen.com/concierge/use-cases/ai-receptionist):

* **Answers every call, day and night**: On your business number, with the greeting you write and the caller's first name when it knows them. See the [phone channel](https://chargezen.com/concierge/channels/phone).
* **Does the work on the call**: Order status, order changes, and subscription skips and pauses, within your rules and [approvals](https://chargezen.com/concierge/features/approvals). See [phone calls](https://chargezen.com/concierge/features/phone-calls).
* **A teammate can join**: Listen in from the browser or the Finn app, tap Join the call, and Concierge tells the caller you are there.
* **Missed calls and voicemails in one place**: Finn shows missed calls and voicemails on its Home feed and Calls tab, with voicemail transcripts. From a missed-call notification, a teammate can call back or send a text in one tap.
* **One customer history**: Every call joins the customer's conversation with their texts and emails in your [team inbox](https://chargezen.com/concierge/features/team-inbox).
* **Keep your number**: Use a new US toll-free number, or [bring the number](https://chargezen.com/concierge/features/bring-your-number) customers already know.

Concierge Starter is $20 a month with 20,000 credits. Pro is $199 a month with 199,000 credits, or $1,990 a year. Phone and text charges are billed as used, and you can connect your own OpenAI or Anthropic account. See [pricing](https://chargezen.com/pricing).

## Frequently asked questions

## How do I know how many calls I miss?

Export your call log from your phone provider or app and count calls with no answer, calls that went to voicemail and calls that hung up while waiting. Use two normal weeks, not a sale week.

## What is a missed call worth to my store?

Multiply missed calls by the share of callers who buy and by your average order value, then add repeat orders. The [missed call cost calculator](https://chargezen.com/tools/missed-call-cost-calculator) does this with your own inputs and no built-in benchmarks.

## Is voicemail good enough?

For a handful of calls a week and same-day callbacks, often yes. It fails when calls are time-sensitive, like an order about to ship, because the problem waits until someone listens.

## Should I stop publishing my phone number?

Usually not. Many shoppers look for a number before they buy, even if they never call. Make sure someone, or something, answers it.
