An appointment reminder text should say who you are, when and where the appointment is, and how to confirm or reschedule, in one short message. Send one when it's booked, one the day before and, if it helps, one a couple of hours ahead.
Reminders only work if they make it easy to reply. These templates are plain text with character counts, ready to adapt for a service shop, clinic, salon or home visit.
When should you send appointment reminders?
| When to send | Template | Characters |
|---|---|---|
| When booked | {biz}: You're booked for {time} at {address}. Reply C to confirm or R to reschedule. | 94 (1 segment) |
| One week out | {biz}: Hi {name}, your appointment is coming up on {time}. Need to change it? Reply R. | 93 (1 segment) |
| Day before | {biz}: See you tomorrow, {name}, {time} at {address}. Reply C to confirm or R to reschedule. | 99 (1 segment) |
| Two hours before | {biz}: See you at {time}, {name}. We're at {address}. Running late? Just reply here. | 91 (1 segment) |
| On the way (home visits) | {biz}: {agent} is on the way and should arrive around {time}. Reply here with any questions. | 99 (1 segment) |
You don't need all five. A reminder the day before is the one to get right, and very long lead times deserve one a week ahead. Send more only when a missed slot is expensive.

What makes a reminder get a reply?
- Say who you are first: Customers may not have your number saved. Your business name should start the text.
- Give one clear next step: One-letter replies are easier than a phone call. Make sure someone or something acts on them.
- Use the customer's local time: If you serve several time zones, or send from a number with a different area code, write the time zone or say "your time."
- Text from a number that can answer: Customers reply with questions, not just C and R. A reply that goes nowhere is worse than no reminder.
- Keep private details out: Texts show on lock screens. Name the appointment, not the treatment, the diagnosis or the amount owed.
How do you handle no-shows without annoying people?
Decide your rules before you write the text. If you charge for late cancellations, say so at booking and in the first reminder, plainly and without a threat. A customer who misses an appointment may have a good reason, so the first follow-up should offer a new time. Save firmer language for repeat no-shows, and leave that conversation to a person.
How do you run reminders across a team?
- Pick an owner: Someone has to check the replies each morning and act on C and R.
- Write down what each reply does: C marks them confirmed; R goes to whoever can rebook. Anything else gets a human answer.
- Plan for after hours: Set an after-hours reply so a late-night reschedule request isn't left hanging.
- Keep the reminder list current: A reminder for an appointment you've already moved is worse than none. Build the list from the latest schedule.
Do appointment reminders need consent?
Rules differ between a reminder and a promotion, so keep them apart. A reminder about an appointment someone booked is informational; a text adding "and 20% off your next visit" looks like marketing, which needs prior express written consent. Either way, ask for a mobile number with clear wording at booking, and honor STOP. Clinics should get advice on health privacy rules, which go beyond this post. Not legal advice. This is general information. We checked the FCC's telemarketing rule, 47 C.F.R. § 64.1200, on November 1, 2026. State laws can add rules, so ask your lawyer about your business.
How to send reminders with SmartyTap
SmartyTap keeps every reply in a shared team inbox, so "R" goes to a person who can rebook and the whole conversation stays with the customer. Scheduled messages go out through text campaigns to the people you choose. SmartyTap flows don't start from booking calendar events, so plan your reminder list from your schedule. See also SmartyTap for med spas and for home services.

Frequently asked questions
When is the best time to send an appointment reminder text?
The day before is the most useful, during normal hours, with an optional second text a couple of hours ahead. Long lead-time bookings can add one about a week out.
What should an appointment reminder text say?
Your business name, the day and time, the location, and how to confirm or reschedule. Leave out private details, because texts show on lock screens.
How do I handle replies to reminder texts?
Send them to a shared inbox a real person watches during open hours. Customers often reply with questions, and an unanswered reply can turn into a no-show.
Can a reminder text include a promotion?
Adding one can make it a marketing text, which needs prior express written consent. Keep reminders purely about the appointment and send offers separately to people who agreed to them.
