Shadow AI

AI

Shadow AI is AI tools that employees use for work without the company knowing or approving them, often by pasting business data into personal accounts.

What is Shadow AI?

Shadow AI happens when teams find AI useful faster than the company sets it up. Someone pastes a customer list into a personal chat account to clean it, or connects an unapproved tool to the store to save time. The risks are data leaving the company without agreed terms, no record of what was done and no way to revoke access when someone leaves. Bans rarely work, because the time savings are real. The usual fix is to offer an approved tool that is just as easy, with clear rules on what data may go where, and to keep a record of what AI tools can access.

Example

For example, a support lead exports a month of tickets and pastes them into a personal AI account to find common complaints. A sanctioned agent connected to the help desk could do the same analysis with access the company controls and can revoke.

Why Shadow AI Matters

Shadow AI exposes business and customer data in ways no one can see or undo, so the approved path has to be easier than the workaround.

Shadow AI FAQ

Should we ban AI tools to stop shadow AI?

Bans tend to push use out of sight. A better approach is an approved tool that is easy to use, plus clear rules on which data may be shared.

How do I find shadow AI in my company?

Ask teams which AI tools they use and for what, check which apps are connected to your store and other accounts, and review those connections regularly.
