Workflow automation

AI

Workflow automation uses software to run business steps automatically when a trigger fires, following fixed rules instead of a person doing each step.

What is Workflow automation?

Classic workflow automation follows "when this happens, do that": when an order is tagged, send a message; when a form is submitted, add a row. Tools such as Zapier, Make and Shopify Flow work this way. It is fast, cheap and predictable. Where it stops is judgment. A rule cannot read an angry email and decide whether to offer a replacement, or handle a request nobody wrote a rule for. That is where AI agents come in: they work from a goal and decide the steps, within the access and approvals you give them. Most stores use both. Fixed rules for predictable, high-volume steps; an agent for the work that needs reading, deciding and talking to people.

Example

For example, a rule tags every order over $500 for review. An AI agent then reviews the tagged orders each morning, checks for address mismatches and past chargebacks, and flags the two that look risky with a short note on why.

Why Workflow automation Matters

Knowing what rules do well and where judgment is needed tells you which work to automate with rules and which to hand to an agent.

Workflow automation FAQ

What is the difference between workflow automation and an AI agent?

Workflow automation runs fixed steps when a trigger fires. An AI agent works from a goal, decides the steps itself and can handle cases nobody wrote a rule for.

Do I still need automation rules if I have an AI agent?

Often yes. Rules are cheaper and fully predictable for simple, repeated steps. Use the agent for the work that needs judgment.
