Painting Contractor Software: The Tools Painters Use, Sorted by Job

A painting company is a sales business that happens to own ladders. Most of the work is won or lost at the estimate: measuring rooms or elevations, applying production rates, picking a product line, sending a proposal the homeowner can sign that evening, and following up before the next contractor does. Then come color choices, deposits, weather windows for exterior work and keeping crews on schedule.

This guide sorts painting software by the job it does, with what each tool does and its published price, checked on each vendor's own site. It doesn't rank them; the right fit depends on whether you are a solo painter, a residential repaint company or a commercial contractor.

The short answer

  • Estimate and sell: Painting estimating software (PaintScout, or DripJobs with its Production Rates add-on) for production-rate estimates, proposals and follow-up.
  • Run the jobs: The estimating tool's job features or a general field-service app (Jobber, Housecall Pro) for scheduling, invoices and payments.
  • Keep the books: QuickBooks Online or Xero, synced from the job app.
  • Answer the phone: A business number that answers while you are on a ladder.

What painting software has to handle

  • Production-rate estimating: Square feet per hour by surface, coats, prep level and height, so two estimators price the same job the same way.
  • Proposals that close: Options at different price points, photos, e-signature and a deposit link in one place.
  • Follow-up: Most residential estimates aren't signed on the spot. Automatic follow-ups win jobs that would otherwise go quiet.
  • Job details: Colors, sheens, product lines and room-by-room scope the crew can read on site.
  • Weather: Exterior work moves with rain and temperature, so rescheduling and telling the customer needs to be quick.
  • Lead-safe work: In homes, childcare facilities and preschools built before 1978, EPA's Renovation, Repair and Painting rule requires firms paid to disturb painted surfaces to be certified in lead-safe practices, sole proprietors included (EPA RRP program, checked October 18, 2026). This isn't legal advice; keep the records the rule and your state require.

Field-service management apps

General apps suit painters who run many smaller jobs and want quotes, scheduling and invoices in one place, without a production-rate engine.

A common split: residential repaint companies with dedicated estimators lean toward a painting-specific tool, because estimating accuracy and follow-up drive their close rate. Owner-operators who sell and paint often prefer one general app that also handles the schedule and invoices.

Painting jobs often take a deposit, a progress payment and a final payment. Make sure each one syncs to the same job in your books, and track paint and sundries per job so you can check your estimates against what you actually spent.

Phones and texting

Homeowners shopping for painters usually call several, and the first one who answers and books an estimate visit has a real head start. They also text a lot: photos of the room, a color name from the paint store, “can you start a day later?” The calls come in while you're rolling, spraying or up a ladder.

  • Phone features inside your field-service app: Jobber's AI Receptionist answers calls and texts and can book the visit during the call using your online booking settings; Jobber's pricing page lists it on Plus and as a $29/mo add-on (Jobber). Housecall Pro's CSR AI answers calls and books jobs, and it sells a separate Voice add-on; neither price is on its pricing page (Housecall Pro). If you want AI that books straight into your schedule, start here.
  • Texting inside your estimating app: DripJobs Chat and PaintScout's customer chat keep messages next to the estimate. Check whether calls are covered too.
  • A standalone business phone app: For example Quo (formerly OpenPhone): $15 to $47 per user per month depending on plan and billing, with phone menus on its Business and Scale plans. Its Sona AI agent includes 10 calls on every plan, then paid tiers from $25 to $199 a month (Quo pricing, checked October 18, 2026). See our Concierge vs Quo comparison.
  • An AI and texting layer next to your app: One business number for calls and texts, an AI that answers every call and text and takes the details, and a shared inbox for the team. This is where Chargezen fits; more below.

Write a short script for the calls that need care. A caller with an older home, especially one with peeling paint and young children, asks about lead: the answerer records the year the house was built and passes it to your certified renovator rather than giving advice. Price questions get your published ranges, not a firm number for a job nobody has seen. Complaints about drips, overspray or damage go to the owner the same day.

Sample stacks by company size

These are common patterns, not recommendations.

CompanyTypical stack
Owner-operatorA general field-service app or a contractor CRM on its entry plan, QuickBooks Online or Xero, and a business number that answers while you paint
Residential repaint, 2 to 6 crewsPainting estimating software with production rates and follow-up, a scheduling add-on or field-service app, accounting sync, and a shared inbox for calls and texts
Commercial contractorEstimating software for bid work, job costing, accounting, and a phone setup that records calls and keeps one history per client

A checklist for choosing

  • Can you edit production rates and get material quantities from the estimate?
  • Do proposals include options, e-signature, deposits and financing?
  • Does it follow up automatically after an estimate goes out?
  • Can the crew see colors, sheens and scope on a phone, with photos?
  • How fast can you move an exterior job for weather and tell the customer?
  • How does it sync deposits and progress payments with your accounting app?
  • Who answers when a homeowner calls at 6 p.m. while you're on a ladder?
  • What does it cost with the add-ons you need, such as production rates or texting?

How Chargezen helps

Chargezen isn't a field-service app, and it doesn't try to be one. It doesn't book jobs, schedule crews, write estimates or send invoices, and it doesn't connect directly to any of the field-service or accounting apps in this guide today. Keep the app that runs your jobs. Chargezen is the phone, text and AI layer next to it: Concierge, Chargezen's team of digital employees, makes sure every call and text gets an answer and lands in front of your team.

  • An AI receptionist on your business number: Concierge answers calls day and night with the greeting you write, answers common questions from what you teach it, and takes the job details for your team. When a caller needs a person, it alerts your team in the Finn app and emails or texts the teammates you pick. See AI receptionist and the phone channel.
  • Every text answered: The agent you choose replies to each text on your number, at any hour, and steps back when a teammate takes over. See the SMS autoresponder.
  • The details an estimator needs: Teach Concierge whether you do interiors, exteriors and cabinets, the areas you serve, how estimates work and whether you take deposits. It asks for the address, the year the house was built and photos, and keeps them in the conversation for your team. See approved answers.
  • Photos by text: Customers can text photos of rooms, siding or trim to your number. They show up in the conversation, so the estimator sees the job before the visit.
  • A teammate can join any call: Listen in from the browser or the Finn app, tap Join the call, and Concierge tells the caller you are there.
  • Calls and texts in one team inbox: Every call and text lands in the customer's conversation, so whoever picks it up sees the whole history, not a crew member's personal phone. See the team inbox.
  • Recordings by your rules: Callers hear your recording notice first, and you choose how long recordings are kept. See call recording.
  • The number customers already have: Get a new US local or toll-free number, or bring the number on your trucks and yard signs. See business phone number.

What Chargezen doesn't do on the phone: no phone menu, no ringing a group of phones, and no forwarding calls to personal cell numbers. Concierge answers, and teammates join or take over from it. Your field-service app stays the place where jobs get booked, priced and billed, so a teammate enters the job there from the conversation. If your field-service plan already includes an AI receptionist, use one answering layer, not two.

Concierge Starter is $20 a month with 20,000 credits. Pro is $199 a month with 199,000 credits, or $1,990 a year. Phone and text charges are billed as used. See pricing.

Related terms: AI receptionist, MMS and number porting. Related guides: AI receptionist vs answering service, cleaning business software and lawn care business software. Frequently asked questions

What software do painting contractors use?

Many use painting estimating software such as PaintScout, or a contractor CRM such as DripJobs, for estimates, proposals and follow-up, plus a field-service app or job add-on for scheduling, QuickBooks Online or Xero, and a business phone.

Which painting software is cheapest?

Of the published prices we checked on October 18, 2026, Jobber Core starts lowest at $29 a month billed annually for one user, without production-rate estimating. Among painting-specific tools, DripJobs Pro lists $97 a month (production rates are a $99 add-on) and PaintScout Sales $99 a month billed annually.

Does painting software handle lead-safe recordkeeping?

None of the vendor pages we checked list RRP recordkeeping as a feature. Many painters keep job photos and checklists in their job app and the required records separately. Confirm what EPA and your state require.

Does Chargezen work with PaintScout or DripJobs?

There's no built-in connection. Chargezen answers calls and texts, takes the details and puts them in front of your team, who enter the lead in your estimating app.
